Allocations – Senior Executive

This purpose of this position is to support the Allocations function in managing the staffing situations and resource utilization for Research team. Responsibilities include, handling e-mail requests, engaging in formal stakeholder staffing discussions, data maintenance on Allocations resourcing tools, ensuring accurate bookings records and capturing critical/confidential projects data. The resource will also be responsible for a number of daily/weekly/monthly reports to be shared with various stakeholders within the firm.

Also, handling daily queries related to Projects, Ad-Hoc staffing, Bookings, online tool issue management etc. are key tasks, expected to be delivered promptly and effectively. 

Responsibilities

  • Μanaging email communication for Allocations team mailbox:
  • Resource must have Strong written communication skills.
  • Ensuring 100% compliance and minimum TAT on responses to the emails marked to the Allocations ID
  • Adherence to proper email etiquettes
  • Understanding the nature of request and prioritization based on organizational KPI’s
  • Maintaining data and on Allocations team scheduling database;
  • Ensure bookings are updated on a daily basis which includes recording all project staffing, leaves and replacements based on the email communication
  • Maintenance of project information, capturing Launch Form data, billing details, resourcing requirements etc.
  • Maintaining User information and taking care of access issues.
  • Checking overbookings and staffing clashes and taking corrective action in advance.
 

Reporting

  • Creating and maintaining a number of advanced reports like margin Calculation, Utilization reports, tracking effort on Account level, project level etc
  • Adhoc- reporting and analysis requests around project/user Allocations data.
  • Analysis and presentation of data in PPT’s, pertaining to a number of Allocations data dynamics, periodically
  • Coordinating with stakeholders on the utilization of resources and highlighting the past and future trends in utilization on a regular basis.
  • Reviewing the data for the junior members in the team and guiding them on Excel and PPT related queries.
 

Stakeholder Management 

  • Understanding the future staffing requirements and incoming opportunities through discussions with the global sales team members on a daily basis.
  • Coordinating with Delivery leads on understanding the performance of the project teams, staffing requirements, changes in project scope and timelines etc.
  • Coordinating with project managers on daily and upcoming staffing changes, understanding the performance of the team members 
  • Coordinating with Finance, HR, operations team on multiple issues and queries related to Allocations records and data.

Skills

  • Proven expertise in Allocations/Resource Management min 2 years of relevant previous work experience.
  • Excellent professional communication skills – verbal and written
  • Strong and advanced MS Office skills - Excel, Office and PPT  
  • Strong time management and ability to manage multiple tasks at a time   
  • Should have a positive attitude and be confident and solution oriented
